Export to Excel

DETAILED PROCEDURE

This procedure explains how to export data from a management grid in Prodon Web in Excel (XLSX) or CSV format, in order to view, analyze, or share the data outside of the system.

Available formats: CSV or XLSX

CSV format

The CSV format is a simple text file:

  • Single worksheet
  • No formatting (no colors, no charts)
  • No formulas
  • Suitable for importing into other systems or for simple data processing

Excel format (XLSX)

The XLSX format is a full Excel file:

  • May contain multiple worksheets
  • Preserves colors and layout
  • Allows the use of formulas and charts

Access the management grid to export

  1. Go to the desired menu (example: Customer Management).
  2. Make sure the grid displayed corresponds to the type of data you want to export.

Important:
The export is based only on the data visible on the screen.

Perform a search or apply filters

  • Use the search fields, the AI search assistant, or filters to display your data.
  • Confirm the search to ensure that exactly the desired data is displayed.

Any information not visible on the screen will not be included in the export.

Select rows (if necessary)

  • If the export must include all displayed rows, no manual selection is required.
  • If only certain entries must be exported:
    • Click on the desired rows in the grid.
    • Visually verify that only the relevant rows are selected.

Access the export menu

  1. Locate the icon representing the three dots (options menu) on the right.
  2. Click this icon to open additional options.
  3. Select the “Export” option.
  4. Choose the desired format:
    • Excel (XLSX) for a complete, formatted file;
    • CSV for a simple file without formatting.

Launch and retrieve the file

  • Once the format is selected, the export starts automatically.
  • The file is generated by the system without any additional user action.
  • The browser downloads the file:
    • Depending on the browser, click the download icon.
    • Open the file or save it to the desired location.

Expected result

At the end of the procedure:

  • An Excel or CSV file is saved locally.
  • The data contained matches the filters and selections applied.
  • The file is ready to be used, analyzed, or shared.
